Privacy Policy

Account information (coaches, administrators, parents): name, email address, login credentials (passwords are handled by our authentication provider — we do not store raw passwords), your role(s) and organisation/team membership(s).

Player information (may relate to minors): first and last name; date of birth (for age-group placement); player photo (optional); team/organisation membership, jersey number, playing position(s).

Rugby & development data: practice schedules and attendance; match participation, squads and events/statistics; skills, positional, physical and character/development assessments; development goals/plans, reports, Season Summaries and Development Journey history.

Parent/guardian linking: parent/guardian email addresses used to link a guardian to a player and to send invitation emails.

Technical data: basic session data needed to keep you signed in and operate the service.

We do not sell personal data and do not use it for third-party advertising.

To create/manage accounts and team membership; record coaching activity (practices, attendance, matches, assessments); generate player development reports and progress views; let linked parents follow their own child; send transactional emails (staff/parent invitations and requested reports); and keep the service secure.

Rugby Nexus is multi-tenant — each organisation is isolated, enforced by database row-level security. Coaches/administrators access only data for their team(s)/organisation. Parents/guardians access only the child(ren) linked to their own account — never other children or organisations. We access data only as needed to operate, support and secure the service.

• Supabase — authentication and database hosting.

• Resend (managed email delivery) — invitation and report emails.

These providers process data on our behalf and may store/process it outside your country; we share only what is necessary.

Account/profile data is kept while your account is active. When you delete your account, your personal profile is removed and your guardian links are removed. Player and team records that belong to an organisation (assessments, reports, match/practice history) may be retained by that organisation for legitimate team-record and player-development purposes, even after an individual account is deleted.

You can delete your account in the app under More → Delete Account. Parents: this removes your guardian link(s), not the child or their history (other guardians are unaffected). Coaches/staff: this removes your access, not club/team/player data. Organisation owners who are the sole owner must transfer ownership or arrange archival first (contact us). Depending on your jurisdiction you may also request access, correction or export of your data, and parents may exercise these for their child. Contact info@rugbyhub.co.za.

Rugby Nexus stores information about players who may be minors, entered and managed by their coaching organisation and/or linked parents for coaching and development. Parents/guardians can request access, correction or deletion of their child’s data via their organisation or by contacting us.

We use encrypted connections (HTTPS/TLS), authentication, and strict per-organisation access controls. No system is perfectly secure, but we work to protect your data.

We may update this policy; material changes are shown by updating the “Last updated” date.
